Who we are
Assistivo is an AI assistant for real estate and other professionals, provided by Computer Copilot LLC ("Assistivo", "we"). This policy explains what Assistivo collects, how it's used and shared, how long it's kept, and the choices you have. It covers the Assistivo website, web app, and iPhone and Mac apps.
What Assistivo collects
- Your account: your name, email address, password (stored only as a secure hash), and time zone.
- Recordings you make or upload, and the transcripts, summaries, notes, tasks, and drafts made from them or typed by you.
- Clients you add or import: names, phone numbers, email addresses, companies, mailing addresses (only if you choose), notes, and dates such as birthdays. From your iPhone's contacts, Assistivo receives only the people you pick and confirm, or everyone if you choose to import them all. To let you search, the app reads the contacts you share with it (all or some, as you choose in iOS) on your phone; the others never leave it.
- Photos of notes or business cards you take in Assistivo: read once and not kept.
- If you connect Google: your calendar events, emails with your clients (read-only), the drafts you choose to save to Gmail, and the Google contacts you choose to add.
- What Assistivo remembers about you, if you allow it: details you enter about yourself, notes on how you write, and details it learns about your clients.
- Your choices (AI services, AI personalization, recording disclosure) and when you made them.
- Sign-in and security information: the devices and browsers you sign in from, IP addresses, and a log of account activity.
- If your organization pays for a plan: which plan, whether it's paid up, and when it renews. Card details are entered on Stripe's page and go to Stripe; Assistivo never sees or stores card numbers. If the plan was bought in the Assistivo app on iPhone or Mac, Apple takes the payment, and Assistivo keeps the purchase record Apple signs: the plan, its dates, and Apple's transaction number, never your Apple Account or payment details.
- If you're invited to the beta: the email address the invite was sent to, with the plan and length it gives. An invite nobody used is deleted about two months after it was made.
Assistivo doesn't use advertising, analytics, or tracking tools, and doesn't track you across other apps or websites.
How Assistivo uses it
To provide Assistivo: to transcribe and organize your conversations, answer your questions, draft messages for you to review and send, remind you of tasks and your clients' important dates, keep your account secure, and support you when you ask for help. Assistivo never sends a message to anyone on your behalf. It emails you only for your account (sign-up codes, password resets, deletion confirmations) and, if you turn them on, your reminders.
AI services and other providers
Assistivo uses these providers to run:
- Deepgram, to transcribe recordings (as you record, for the live transcript, and after you save) and voice commands. It receives the audio, through Assistivo's servers. Assistivo opts out of Deepgram using it to improve its models.
- OpenAI, to write summaries, answer questions, draft messages, read photos, and learn your writing style. It receives transcripts, your notes and photos, and the client details a request needs. Assistivo asks OpenAI not to store responses, and OpenAI doesn't use this data to train its models.
- Cloudflare (audio storage), Neon (database), Railway (hosting), and Resend (account and reminder emails).
- Stripe, only if your organization buys a plan on the website, to take payment. It receives the organization's name, the email of the person who buys it, and the card and billing details entered on Stripe's page.
- Apple, only if a plan is bought in the Assistivo app, to take payment through the App Store under Apple's own terms and privacy policy. Apple tells Assistivo which plan was bought and when it renews, changes, or ends; Assistivo sends Apple only an identifier for your organization, so the purchase reaches the right one.
- Google, only if you connect your Google account.
Assistivo uses the AI services only with your permission, which it asks for once and you can change in Settings. Without it, recording, summaries, Ask Assistivo AI, drafts, and photo reading are off; your clients, tasks, and notes still work.
Assistivo doesn't sell your information or share it for advertising. Assistivo's use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements; Google data isn't used to train AI models.
Assistivo may disclose information if the law requires it, or to protect the rights and safety of its users or others.
Recording other people
When you record a conversation, the other people in it are recorded too. You're responsible for telling them and getting any consent the law requires; in some states, everyone in the conversation has to agree. Assistivo shows you this before your first recording, and your organization can turn on a reminder for every recording.
Who can see your information
- People in your organization (your team) can see its shared conversations, recordings, transcripts, clients, and tasks. Your drafts, what Assistivo remembers about you, and your Google emails are private to you.
- Assistivo staff can't see your conversations. When you ask for help, an Assistivo administrator may open your organization's conversations for one hour at a time, for a reason they record; it appears in your organization's activity log.
How long it's kept
- Recordings, transcripts, and your records: until you or your organization delete them. Your organization can set recordings to be deleted automatically after a period you choose.
- Deleted conversations, clients, tasks, and drafts: erased for good 7 days after you delete them (until then you can undo).
- Security and AI activity logs: 14 days.
- Records of your consent choices: for the life of your account.
- When you delete your account, Assistivo deletes your personal information from its active systems right away, as described under Your choices. Copies may remain for a limited time in database recovery history and backups until they expire and are erased automatically, unless the law requires keeping them longer.
Your choices
- Turn AI services or AI personalization on or off in Settings (on the iPhone, in the account menu).
- See, correct, export, or delete what Assistivo remembers about you and your clients.
- Delete recordings, conversations, clients, and anything else you've added.
- Delete your account in Settings → Delete account (on the iPhone, in the account menu). It deletes your account and personal information right away; organizations where you're the only member are deleted with everything in them.
- Ask for a copy of your information, or ask anything about your privacy, at info@computercopilot.com.
Security
Assistivo encrypts information in transit, stores passwords only as secure hashes, encrypts connection tokens, keeps each organization's information separate in the database, and limits staff access as described above. No system is perfectly secure; if Assistivo learns of a breach affecting your information, it will tell you as the law requires.
Children
Assistivo is a business tool for adults. It isn't meant for anyone under 18, and Assistivo doesn't knowingly collect information from children.
Changes and contact
If this policy changes in a way that matters, Assistivo will tell you in the app before the change applies. Questions: info@computercopilot.com, or by mail to Computer Copilot LLC, 107 S 1470 E, Suite 203, St. George, UT 84790.
